Running a business in 2025 means wearing every hat at once: salesperson, strategist, marketer, and when the invoices don’t add up, part-time detective. By the time the emails are answered and receipts are reconciled, tomorrow has already started. It’s no surprise nearly half of Canadian entrepreneurs say operational inefficiency is holding them back from growth–or that seven hours a week disappear into spreadsheets, sales tax calculations and manual data entry.

A reimagined QuickBooks on the Intuit platform aims to fix that.

A Virtual Team at Your Fingertips 

The company has rolled out a virtual team of AI agents on the Intuit platform, specializing in digital co-workers for accounting, finance, customer management and sales tax. Unlike most AI tools that wait for instructions, these agents work proactively in the background, flagging missing expenses, drafting invoices and surfacing cash flow insights before users go looking for them. These insights, anomalies, and actions are then served up to business owners for their stamp of approval. 

Puja Subrun, VP and GM for Canada-LATAM at Intuit, says this evolution is driven by the pain points shared by many business owners. “Businesses are constantly switching between a patchwork of apps and systems that don’t talk to each other. Data lives everywhere,” she says. “It leads to decision fatigue and takes time away from actually growing the business.”

Each agent tackles a different part of the financial workload. The Accounting Agent proactively categorizes transactions, catches anomalies, and recommends how to keep the books clean–all delivered in a business feed the owner can approve or dismiss. The Finance Agent generates real-time profitability snapshots, cash flow summaries and balance sheets. The upcoming Sales Tax AI Agent will detect inconsistencies in filings and suggest how to correct them. And the Customer Agent reaches even further into real revenue generation–scanning inboxes for potential leads, drafting personalized responses and tracking opportunities from email to closed deals.

But none of it happens without a human nod. “Human control and expertise is still critical in this orchestrated business workflow, whether that is the business owner making the final call, or having access to human support to help guide them,” Subrun says. “Nothing is executed without their oversight. The agents recommend, they alleviate burden and monotony–they don’t overtake.”

More Time for What Matters

Intuit’s study, The Growth Gap, shows 80 per cent of Canadian SMB leaders believe AI can help them delegate while maintaining oversight. Businesses using these AI-powered experiences report gaining back up to 12 hours a month. This is time returned to strategy, sales, hiring, or, frankly, a night off.

Where this gets particularly interesting is the accountant and bookkeeper relationship. The agents are being built to work collaboratively alongside them, with the accounting professional in the books having access to streamlined and automated insights or actions to help them save time too. Accounting professionals and business owners can focus on the parts of the business that actually move the needle. This enables them to move to strategic advisory, or even helps them confidently close books with an extra set of hands.

The platform itself has also been redesigned around this shift. QuickBooks now opens to a customizable dashboard with widgets for cash flow, invoices, tasks and agent activity. The business feed summarizes what’s been done: invoices drafted, expenses categorized, leads identified–and what still needs attention. 

But this is clearly just the beginning. “We declared our strategy to be the AI-driven expert platform five years ago,” says Subrun, “and the pace of change is accelerating. We’ll continue innovating in the agentic AI space, mobilizing these tools further, and finding new ways to deliver productivity and insight.”

Thinking ahead, the promise of this platform lies in a pragmatic balance: automation where it makes a measurable difference, and human judgment or expertise where it counts. Instead of chasing missing receipts, small business owners could focus on margins, product development or new markets. Instead of accounting professionals being buried in reconciliations, they could spend more time as advisors. For the entrepreneur, the most meaningful innovation is finally getting to focus on the business they started, not the bookkeeping they inherited.
